List the items that interrupt work when they run out
Begin with the supplies used regularly across appointments: for example, disposable bed covers, waxing strips, gloves, or other items that are part of your service setup. Record each item in the unit you actually buy, such as packs, boxes, or bottles.
Keep different sizes, materials, and variants on separate lines. Combining similar products can make the stock count look healthier than it really is.
Use actual usage to estimate demand
For each item, record the quantity used over a recent period and the number of services or operating days in that period. Calculate an average daily or weekly use, then review it when staffing, appointments, or service mix changes.
Set a reorder point around lead time
A practical starting formula is: average daily use × supplier lead-time days + a buffer. For example, if an item is used at a steady rate and replenishment takes several days, the buffer gives you time to respond to delivery variation or a busier week.
Treat the result as a planning guide, not a fixed rule. Adjust the buffer based on how predictable demand and delivery are for your business.
Count stock in the supplier’s pack units
A reorder calculation can be misleading when your inventory is counted as individual pieces but the supplier sells only in packs. Write down both figures—for example, packs on hand and pieces per pack—so the buyer can see how many usable units remain.
- Count sealed packs and opened packs separately.
- Record expiry dates for products that have them and rotate older stock first.
- Note the supplier, last order date, and typical delivery time.
- Review slow-moving items before adding them to a bulk order.
Review the routine once a month
A short monthly review is often enough to catch changes: a product that is being used faster, a variant no longer needed, or a delivery window that has shifted. Compare the count with the reorder point and place orders for the items that need replenishing.
