Start with the service areas you actually run
Walk through the business and write down each active work area: treatment rooms, facial or waxing stations, hair wash areas, reception and the shared stockroom. A small spa may combine several of these; use only the sections that match your services.
For each area, list the supplies that are used repeatedly or would interrupt an appointment if they ran out. Keep separate lines for different sizes, materials, formulas and pack units.
Use a simple checklist for each station
Treatment and facial rooms may use bed covers or sheets, pillow covers and the creams, gels or oils selected for the service. Waxing stations may need strips in the sizes your team uses and any other consumables already included in your service procedure. Wash areas may use shampoo, body wash or hair-care products from your current range.
- Write the product name and variant exactly as staff should reorder it.
- Record the pack quantity and whether the count is in pieces, pairs, bottles or packs.
- Include shared hand-wash and protective-wear supplies where your workflow uses them.
- Keep optional or seasonal items separate from the everyday essentials.
Make the stock count easy to repeat
Choose one unit for counting and use it consistently. If a supplier sells a pack of 100 but staff count individual pieces, record both numbers. Track unopened packs separately from opened stock when that helps the team estimate how many usable units remain.
- Current usable stock and pack size.
- Average weekly use or number of appointments supported.
- Typical supplier delivery time and your chosen safety buffer.
- Last count date, person responsible and next review date.
Store and use products according to their instructions
Keep unopened supplies in a clean, dry place and organise them so older stock is easy to use first. Follow each product label and manufacturer instructions for handling, storage and use. Disposable covers and protective items do not replace surface cleaning, tool care or the hygiene procedures required for your services.
Review the list when your service mix changes
After a new service launches or a busy period ends, compare your expected use with the actual stock count. Remove items that are no longer used regularly and update pack or lead-time details when suppliers change. This keeps the list useful rather than turning it into a catalogue of products nobody needs.
